About Organization / Project:
Introduction:
Union Aid is required Admin Finance Assistant in Herat Province for the project of Integration of Displaced People in Northern Afghanistan. S/he shall directly report to Admin Finance Officer and assist the Project Manager in all Finance and Admin related aspects for its office in Herat.
Duties and Responsibilities:
Accounting (Finance)
Assist in maintaining program accounts in QuickBooks, produce expenditure statements, preparation of monthly, quarterly, and annual financial reports and other financial information as per requirement.
Preparation of vouchers and cheques and effective payment.
Assist in the handling of the project bank account
Maintain the attendance records of relevant staff
Cashier (Manage Petty Cash, Handling of Cash and Cash Book: ensure daily closure of the cashbook).
Assist in financial planning and preparation of budget advances on a quarterly basis with the consultation project team and management.
Preparation of salary statements and payment of monthly staff salaries and allowances to the project team and community facilitators.
Coordinate audit for the project with close coordination of the management & finance team.
Administration
Procurement of material for project requirements according to Union Aid’s procedures, with close coordination and support of head office procurement logistics’ team and procurement committee.
Maintenance of inventory for office, proper inventory control and update of the inventory list, etc at project office and field levels.
Overseeing arrangements for meetings, workshops, seminars etc.
Maintain leave records of all the staff.
Human Resource
Maintain personnel files for all the staff involved in the project
Maintain the attendance records of relevant staff
Keeping a record of correspondence, attendance sheet, annual leave record
Office Supervision
Manage office support staff at field locations ( Driver, Guards, etc)
Maintenance of vehicle record, their movement and all other related matters.
Arrangement of rental contract for project office and community places if any.
Capacity Building
Capacity building of field and core project staff regarding finance and admin related procedures and policy requirements
Job Requirements:
Language:
- Excellent oral and written communication skills in English and Dari Languages
Other skills:
- Proficient in Microsoft Office program.
- Team work spirit, disciplined, hard worker and capability to respond challenging conditions.
- Being flexible regarding working hours.
- Willingness to travel to the site areas.
