Job Summary:
Under the supervision of the Administrative Program Manager will be required to take overall responsibility of maintaining a proper filing system and ensuring all office related documents are kept in related files. The incumbent will provide coaching and support to service staff on a regular basis to ensure that Nejat Center projects interventions take place in a professional and efficient way. The Admin Assistant and Data operator is responsible for providing efficient and effective administrative & Finance support and services.
Duties:
Admin and Operator:
• Maintaining a proper filing system and ensuring all admin/HR related documents are kept in related files.
• Responsible for implementing the procedure and policies for all office staff.
• Prepare the monthly salaries report at the end of each month.
• Updating of premise follow up, mission follow up and vacation follow up-and hacking and controlling the monthly administrative field offices document.
• Updating of staff contract and filling of appraisal forms accordingly.
• Maintain an inventory list of all Nejat Center’s equipment, and update it on a monthly basis.
• Collect the necessary project data from field staff and enter the relevant data base.
• Do the maintenance and follow of vehicles/generators maintenance and logbooks.
• Prepare and maintain a list of all service providing agencies for purchasing, repairing and maintenance of house and office equipment.
• Manage office expenses in terms of stationary, electricity bill and other tasks.
• Supply all kinds of required machines, equipment and tools and other items to the office.
• To maintain a well-organized accountancy filing system.
• Coordinate with Administrative Program Managers in timely preparation and submission staff payroll.
• Updating of premise follow up, mission follow up and vacation follow up-and hacking and controlling the monthly administrative field offices document.
• Updating of staff contract and filling of appraisal forms accordingly.
• Prepare and maintain a list of all service providing agencies for purchasing, repairing and maintenance of house and office equipment.
Data operator:
• Collecting the necessary data from field and verifying and logging receipt of data; obtaining missing data.
• Records data by operating data and punching the necessary data and information into the relevant data base: resolving processing problems.
• Protects an organization’s value by keeping information confidential.
• Any other task assigned by his supervisor, which falls within his capabilities

 

Job Requirements:

• Minimum of Bachelor's degree in accounting, finance, or a closely related field.
• At least 3 years’ experience in finance, accounting, or auditing with 3 years at a supervisory level, preferably with nonprofit agencies.
• Ability to write and verbally communicate clearly and concisely in English.
• Advanced experience in the use of computers and Microsoft office programs (Ms. Word, Excel, PowerPoint, etc.)
• Ability to work both independently and in a team; proven analytical and problem solving abilities.
• Ability to live and work in challenging and possibly dangerous field situations.
